Visas

Foreign delegates, from countries other than the European Community and Switzerland, United States and Canada, are advised to inquire as soon as possible at the nearest French Consulate or Embassy whether a visa is required for their stay in France. Please inform the conference secretariat by e-mail : ieee2000@hep.saclay.cea.fr  if you experience difficulty in obtaining a visa to come to France and participate in IEEE2000.

Official letters of invitation (without financial commitment) to help overcome administrative difficulties in some countries can be sent up on written request to the conference secretariat by e-mail: ieee2000@hep.saclay.cea.fr 

 

Insurance

The organisers are not responsible for medical, travel and luggage insurance of the conference participants. Attendants are strongly advised to take out their own personal insurance before departure.

 

IEEE Membership

In order to encourage participation in the activities of the IEEE, the Nuclear Science and Medical Imaging Conference is pleased to offer 55 Euros ($ 50) subsidy to those attendees who register at the non IEEE member rate to join IEEE during the conference. In addition we offer a complementary Membership in NPSS to those conference attendees who are members of IEEE but who are not members of NPSS.

 

Registration

We are expecting a large number of participants. Advance registration is recommended in order to ensure hotel accommodation. You may register electronically through the conference Web site and pay by credit card (Visa, Euro Card, Master Card only) through the Secure Socket Layer (SSL). You may also mail the registration form to Carte Blanche with a check or money order in Euros made payable through French banks. The registration form may also be faxed to Carte Blanche. An acknowledgement will be sent upon receipt of your registration and payment. The registration fee for participants covers the book of abstracts, the proceedings, the welcome party, the cocktail reception and coffee breaks.

 

Reception and Banquets

All participants are invited on Monday, October 16, 2000 to a cocktail reception at the Palais des Congrès.

For the banquets, we have selected places among the very top tables in Lyon area.
These gourmet dinners will invite you to discover a world of colors scents and savors from France in a cordial, refined atmosphere.

The NSS banquet will be organised on Wednesday, October 18, 2000 at the Casino Vert in Lyon.
The MIC banquet will take place on Thursday, October 19, 2000 at the Cuvage de Lacenay.
The participation to each banquet is 50 Euros.

 

Hotel Information and Lyon city guide

There are a lot of hotels in Lyon from one star to four stars.

Luxury**** (equivalent Hilton, Sheraton, Westin…)
Superior *** (equivalent Holiday Inn, Marriot…)
Standard ** (equivalent Best Western…)
Economic * (equivalent Motel 6…)

These hotels are located inside the city within 20 to 30 minutes by the very efficient Lyon public transportation. There is however one four stars hotel (Hilton) located on the site of the Palais des Congres.

You have two choices for making reservation :

Travel Information within France

Conference participants make take advantage of special discounts on train fares, with up to 20% French railroad network (SNCF). To receive the coupons necessary to obtain the discount fares, please check the corresponding box in the appropriate section of the registration form.

 

Terms of payment

Registration forms should be returned with your remittance of the registration fees, the hotel deposit and the full payment for banquet and excursions. No registration form will be processed unless received with the appropriate payment.
All payments must be made in Euros.

A duplicate or a photocopy of the transfer order raised by the bank must be attached to the registration form mailed to Carte Blanche.

The sender's full name and complete mailing address should be clearly indicated on the order, as well as payment details. Collective remittances must be accompanied with a list of names and detail for each registrant respectively. The remittances should be free of all bank charges for the recipient.

Incomplete Payments

In the event registration fees were not credited on time to the congress account, participants are advised to bring along a copy of their payment proof (bank transfer or other justification) or their acknowledgement of receipt. Any delayed payment resulting from miscalculation or incomplete payment of the registration fee will be collected on the site by Carte Blanche.

 

Cancellation Policy

. Cancellations must be notified to Carte Blanche by letter, fax or e-mail.
. Names substitutions received until September 30, 2000 will be processed
  at no extra charge.
. For registration and banquet cancellations received after September 15, 2000,
  100 Euros will be withheld for handling.
.
For hotel reservation cancellations, no reimbursement of the deposit will be made.
. All tours are subject to a minimum participation and the detailed itinerary of each tour is
  subject to change without prior notice.

 

Subsidies to Attendees

Subsidies to IEEE 2000 NSS-MIC attendees may be granted under the following conditions:

A) Be the presenter or author of a paper submitted and accepted for presentation (oral or poster) at the Conference,

B) Applicants for EU grants:

We have made a request to the European Union for subsidies for each of the 4 categories as listed below. The possibility to grant subsidies for any one of them is pending to the approval of our request by the EU.

  • Students from a member state of the European Union
  • "Young physicists" (< 35 years old) from a member state of the European Union
  • Physicists from a "Central European Country" and a "Newly Independent State" (Albania, Armenia, Azerbaijan, Belarus, Bosnia-Herzegovina, Georgia, Kyrgyzstan, Kazakhstan, Former Yugoslav Republic of Macedonia, Moldova, Mongolia, Russia, Tajikistan, Turkmenistan, Ukraine, Uzbekistan)
  • Physicists from the "States in the Phase of Pre-Accession" to the European Union (Bulgaria, Republic of Cyprus, Czech Republic, Estonia, Hungary, Latvia, Lithuania, Poland, Romania, Slovakia, Slovenia)

C) Other grants:

The 2000 NSS and MIC are pleased to offer several stipends. Request should be sent to the NSS or MIC chairman. Each applicant should arrange for a letter of recommendation to be sent by a senior colleague.

Notes:
The subsidy will be equivalent to about 500 Euros per person to cover conference registration fees and hotel accommodation. It is not intended to cover travel costs.
